A family birthday tracker sounds like a small organizing project, but it solves a real problem with birthday freebies: the best ones need advance notice. If you sign up on the day, you may get the reward next year instead. Keeping a list of everyone's birthdays lets you join the right programs early, for you, your partner, your parents, and your kids. This guide explains why lead times matter, shows examples from our verified data, and describes the tracker ClaimCake is building.
Every brand fact here comes from the brand's own page as recorded in our database, last verified 2026-11-06. Offers change, and the brand's page is the final word.
Why a family birthday tracker helps
Most birthday rewards are tied to an account that already has your birthday on it. That means the real deadline is not your birthday. It is the day you need to join, which can be a month earlier. If you track relatives' birthdays, you can work backward from each date and finish the signup in time.
It also helps you spread things out. A household with four birthdays across a year can pick a few offers per person instead of scrambling for all of them at once.
Lead times from the verified data
Here is how far ahead several brands want you set up. These are the numbers from each brand's page as recorded.
A month ahead
- AMC Theatres needs your birthday on a free Stubs Insider account 30 days before the first day of your birth month.
About a week or more ahead
- Starbucks says to join at least 7 days before your birthday and have at least one Star-earning transaction before it each year.
- Burger King needs the birthday set 7 or more days ahead, plus an eligible transaction in the prior 12 months.
- Cold Stone Creamery lists a 7-day lead, and its reward window runs from 7 days before to 7 days after your birthday.
- The Cheesecake Factory lists 7 days, and sign-ups within 7 days of your birthday get the slice on the birthday itself.
- Firehouse Subs lists 7 days and requires a $1+ purchase in the prior 6 months made at least 7 days before your birthday.
- Benihana and Tropical Smoothie Cafe each list a 7-day lead.
- Red Lobster lists 10 days, and the reward is issued 7 days before the birthday.
The day before
- Chick-fil-A says to add your birthday 24 hours ahead or get it next year, and notes that Sunday birthdays arrive Saturday.
- Jersey Mike's says to opt in to email 24 hours before your birthday or get it next year.
- Dutch Bros loads the reward on your birthday, or the next day if you download the app on your birthday.
- Philz Coffee says the birthday must be entered at least one day before.
Before the birth month starts
- Cracker Barrel needs the birthday on the account before the birth month.
- Qdoba says the birthday must be set before the 1st of the birth month and cannot be changed.
- Ulta Beauty says the birthday must be on the profile before the birthday month to get the store coupon.
Our lead time guide covers these further.
Kids and relatives
Planning for children has its own rules. At Chuck E. Cheese, a parent registers a child aged 1 to 17 in the free Birthday Club, with a 7-day lead and a late signup waiting until next year. At Build-A-Bear, the adult joins the free Bonus Club and the child need not sign up, though the birthday child must be present. See our list of birthday freebies for kids for more.
For adult relatives, remember that most rewards live in the person's own account. Chili's lists its reward as non-transferable, and Starbucks records the birthday per account. A tracker can remind you to nudge your mom to join, but she will need to set up her own account.
What the ClaimCake account will do
ClaimCake's account is launching soon. The plan is simple:
- Sign in with an email link. There is no password to remember.
- Add the birthdays of family members and friends you care about.
- We email you 7 days before each birthday and again on the day.
The 7-day reminder is meant to give you a chance to act on the shorter lead times above, though the longest ones, like AMC's 30 days, would still need earlier planning on your own. You can check the account page for launch updates.
A tracker you can start today
Until the account is live, a plain list works. For each person, write down the birthday, which two or three programs they actually use, and the date by which they need to join each one. Put those dates in your calendar, not the birthdays themselves.
Our birthday freebies calendar planner shows one way to lay this out month by month, and the half-birthday guide covers the few programs that reward a second date. Our verified data shows Benihana lists a $25 half-birthday reward, and Rita's offers a half-birthday benefit for seasonal shops with October to February birthdays.
Frequently asked questions
How early should I sign up for a birthday reward?
It depends on the brand. Our verified data shows lead times from 1 day (Chick-fil-A, Jersey Mike's) to 7 days (Starbucks, Cold Stone) to 30 days (AMC Theatres). Check each brand's page.
Can I claim a freebie for a family member?
Rewards generally live in each person's own account, so the relative usually needs to join the program. For children, Chuck E. Cheese and Build-A-Bear have parent-led signups.
When will the ClaimCake account launch?
It is launching soon. See the account page for updates.
Will the emails cover every brand's lead time?
No. Reminders arrive 7 days before and on the day. For brands with longer lead times, such as AMC at 30 days, plan ahead using the lead times above.
